Summary:    

Objectives:

The objectives of the CEO/HR2 Appraisal Assessment page:

  1. Is to overview all employees that have been appraised by their respective managers

  2. Show all assessments that the CEO needs to review

  3. Since the CEO will be assessing all employees, the CEO will have to look into the Quarters Average score and Total average score of the Year for each employee and to make amendments and insert overall comments for each employee.

  4. Fast-track assessment and eliminate workload

CEO Appraisal Assessment

  1. When the CEO logs in to do an assessment, there will be a separate page for CEO Appraisal Assessment.

  2. CEO Appraisal Assessment will be in a tabular format where he can view/update/edit appraisal scores.

  3. Once the appraisal score is updated, the average score automatically recalculates or the CEO can directly update the average score.

  4. In all appraisals updated the comment is mandatory for the CEO to input in order to save changes.

  5. Once the assessment is completed, the CEO will have to select an appraisal and submit it to close selected appraisals. 

  6. sort the list by cost-centre and average score (highest to lowest for all cost-centre).
  7. If the configuration is for half-yearly, the form in figure 1 should have 2 red columns, labelled "1st Half" and "2nd Half"

  8. If the configuration is Quarterly, the form will be as shown below. Refer to case: L12551

  9. If the configuration is for "Yearly", we will display 1 column


The proposed solution is to eliminate workload and to fast-track CEO appraisal assessment in order to close appraisal for a particular year.


Figure 1: CEO Appraisal Assessment Form. In this form, the CEO will only have access to the column highlighted in red. CEO will only be able to update or edit appraisal overall score and insert comment/reason of update.

Appraisals that will appear in this form are the appraisal that is pending for CEO assessment only. i.e., all appraisals that have been assessed by 2nd approver and submitted for 3rd approver assessment.

Additional Condition for the CEO Appraisal Assessment Form

  1. The fields in the red & blue columns will be auto-populated once the CEO accesses the form, except for the “CEO – Reason of Change/Update” field which will be blank. The CEO will update this
  2. CEO will have the option to edit the overall average score on each appraisal and insert the reason for editing with this, the CEO can also edit the appraisal score (by group) (Quarter or Bi-Annual).
  3. The “Reason of Change/Update” should be mandatory when the overall average score or the appraisal score (by group)(Quarter or Bi-Annual) is edited
  4. The total average score will be auto recalculated based on the edit average score on each appraisal (by group) (Quarter or Bi-Annual)
  5. The form should have the autosave feature

Teams meeting with Aarti @ 8am aest

We have updated the case header with numbering and removed duplicate requirements.

We discussed the following:

  1. The requirements in the case header have been reviewed and can be developed
  2. To allow the CEO to override the Average score, we will need to store the "override" score in a separate field (for each appraisal group) so the employee and manager scores will not be affected
  3. Comment 2, Item 5 - Cannot AutoSave as the average scores depend on the entered amounts
  4. We can use Batch Edit to allow editing the RED columns
  5. We will add a "Start Date" that will be used to determine the Quarters
  6. Add the option to select Multiple rows and submit

Effort: 28 hrs

Hi Aarti, we will need to include this in the next release as the current build is in release testing.

As advised earlier, given we are at the end of the year, it will be difficult to rush this through. I will have a release date after 13.11 is published.

HI Aarti, in this case, when you refer to CEO, is this referring to HR2 in LinkSOFT or is this a separate user that can override the Average score separate from Manager, HR1 and HR2?

Hi Aarti, I cannot dynamically change the columns on the FORM based on the Half Yearly and Yearly, the columns will need to be 4 columns - one for each quarter.

The reason is that the form has Edit capability and therefore cannot be changed dynamically. 

The report can be changed based on the configuration but not the form - this has already been completed.

Can you discuss this and get back to me if this will be an issue and if this case is to proceed?

As discussed, we cannot have a dynamic column-based edit form.

Therefore the request to have Dynamically formed editors cannot be completed.

We have agreed to add a "Batch Edit" entry form that will allow the user to Override the Overall Score using Batch mode.

If there are 4 quarters, there will be 4 override score rows per employee. See figure 1 below.

This form has a batch editor and all changes can be done once and saved at the end.

The following changes have been completed:

  1. Added a new menu item called "Appraisal Score"
  2. This new form will allow the user to edit scores in Batch mode. Only the "Score" column will be editable. 
  3. When the score is changed, the user will be required to put an "Override Score Reason"
  4. Users can group the items by "Employee" so that they can clearly see which appraisals are available for score override
  5. This design will work for any Appraisal Period Breakdown, Monthly, Quarterly, yearly etc
  6. I have also added a detail level where the batch entry can be done for each KPI.
  7. All relevant security policies apply to "Appraisal" and "Appraisal Score" forms

TLTB has raised concerns that the CEO comments entered on this screen are not reflected on the Appraisal screen. We have replicated the below in the demo database:


Steps to Replicate:

  1. Setup:
    1. Employee: E002
    2. Manager: E013
    3. CEO: E108
    4. Appraisal Code: APPR000036
    5. Appraisal Date: 30/06/2020
  2. Employee “E002” Submitted
  3. Manager “E013” Appraised and Submitted
  4. CEO “E108” logged in and navigated to the Appraisal Score screen
  5. Edited the score, entered a comment, and submitted. Refer to Figure 1: CEO Submission
  6. When the employee reviewed this on the Appraisal screen – the employee was not able to view this comment. Refer to Figure 2: Appraisal Screen

Development Notes: Meeting with Sanjay and Aarti @ 2 PM AEST

  1. In menu: Performance Management ~> Appraisal, when editing a record, the user can add "HR2 comment" and "Override Score reason" depending on access
  2. Data for these two fields are stored separately
  3. When using the menu "Performance Management ~> Appraisal Score" to override the final score, the user can add an "Override Score comment". This is stored in a separate field from HR2 Comment

Therefore the system is working as designed.

Next Step: Aarti to discuss this with the Client and work out if we need to show "Override Score reason" in the "Appraisal" form.
