Subject: Allow Edit of Quantity for Pay codes coming from Allowance, Benefit and Deduction of Paysetup
Summary:    
In versions 11 and prior, users were able to amend the quantity for Pay components coming from Allowance/Benefit and Deductions form at Pay Edit. In web version 12 and above, this is not allowed. Business Scenarios where this is needed.
  1. On Pay Verify, if the deduction is more than 50% of the gross for employees, the payroll personnel has to remove the personal deduction of the employees from current pay. In version 12 and above, they have to do this at Pay Setup, remove and add employees to pay for changes to take effect, and after updating pay, reset the deduction at pay setup for next pay.
  2. For FNPF, there is some allowance paid every pay but the amount differs. This is added at allowance form but edit on Pay Processing is not allowed.  Even when the user checks override quantity, it is still not permitted

Note: If the same components are entered on Standard Pay Entries rather than Allowance and Benefit, the user is able to edit the quantity. This risk of entering at Standard Pay is rebuilding will remove all these components.

Provide a Test plan - List out at least two scenarios that will be used to verify
  1. Add Allowance and Deduction Components at Pay Setup
  2. Create a Pay and edit the quantity for these components at the Pay Processing form. This should be permitted

Hi Vineet, you cannot edit items that meet one of the following two conditions:

  1. Component Type is Banking (this is automatically calculated)
  2. The pay detail has an Import Reference (as this needs to align with the source data)

In your case, Payrun 482, Employee E113 and Component FSCLB fall into the second category, it has an Import Reference of "24" therefore it cannot be edited.

For case "L12684 Allow Edit of Quantity for Pay codes coming from Allowance, Benefit and Deduction of Paysetup", edit needs to be allowed else the business scenario in the case header will be difficult to handle. The client will never upgrade from v8,v9v10 and v11

This has been blocked from web versions. Was 'permitted before

Hi Vineet, Client wanting to upgrade is less important than data integrity. In this case, there is an import reference on this record so we cannot allow an edit

I can make a change that will remove the import reference when edited, which will allow you to edit this record, however, we will lose the import link. We will need to document this if this is required. Update the case with these details and I can work out how nest to proceed.

Discussion with Vineet:
  1. Agreed that we cannot allow the user to change Time Entry and Leave Entries coming from Timesheet and Leave applications
  2. If the user has access to EDIT Standard Pay, and the Pay Details has imported from Standard Pay, we can allow the EDIT as the workaround is for the user to change this in Standard Pay and then Reimport, which is a tedious task

    1. for Allowance, Benefit and Deductions to be based on Security Access when data is imported from Employee Standard Pay
    2. For Leave and Time Entry - you cannot change the quantity as the Approval process cannot be overridden.
