Overview

Point of Sale (POS) within LinkSOFT is a comprehensive module designed to manage retail transactions and related operations efficiently. It provides a robust platform for sales, customer engagement, inventory management, and financial reconciliation, with features aimed at streamlining daily retail activities and ensuring accurate record-keeping. The system is built for affordability, scalability, and integration, utilising the latest technologies for constant improvement and flexibility.

Here are the key elements of the Point of Sale system:

  1. Sales and Transaction Management: The system facilitates diverse transaction types, including cash sales, credit sales, lay-bys, and returns. It supports applying discounts, including discount vouchers, which are primarily applicable to cash sales. Transactions can be parked for later retrieval, and the system can be configured to prompt for additional notes during a sale. It also allows for the processing of quotations, which can then be seamlessly converted into cash or credit sales.
  2. Customer and Loyalty Features: POS includes detailed customer profiles, supporting comprehensive loyalty programs where points can be redeemed automatically. It manages customer-specific pricing, credit limits, and handles fleet management, including vehicle and driver details, mileage tracking, card restrictions, and driver PINs. The system can process payments from fleet customers and allows for multi-account payments.
  3. Inventory Control and Pricing: POS is tightly integrated with inventory, providing detailed product information such as descriptions, UPC, SKU, barcodes, and the ability to load product images onto the POS grid. It supports various pricing structures, including location-specific and debtor-specific pricing, and offers utilities for price updates and managing kit items. It also facilitates stock-takes and adjustments, ensuring accurate stock levels and preventing sales of items at zero selling price.
  4. Shift and Cash Management: Cashiers can efficiently open, hold, and close shifts, with the system providing detailed reconciliation reports for all payment methods. It supports cash-in and cash-out transactions with associated reasons and automatically adjusts payment method grids. The system also includes features for managing transactions for POSCASH customers.
  5. Reporting and Business Intelligence: A wide array of reports is available, covering sales summaries, detailed transactions, customer history, inventory movements, and performance analysis by various criteria like category, product, and hour. Specific reports, such as those for "Pseudoephedrine" medication sales or tax detail breakdowns, can also be generated, and some reports can be delivered via hourly email notifications.
  6. System Configuration and Integration: POS offers extensive configuration options for hardware like printers and customer displays. It integrates with financial systems such as JIWA and complies with various Tax Monitoring Systems (VMS/SDC/TMS) by generating specific tax invoice formats and managing reprints as 'COPY SALE' or 'COPY REFUND'. Replication features enable seamless data synchronisation between head office and branches, supporting standalone or fail-safe modes.
  7. Prescription and Label Management: For pharmaceutical environments, the system provides features for prescription entry, managing repeats, and generating non-prescription labels with usage instructions. It allows for the deletion of prescription items and can print customer information on prescription receipts, meeting regulatory requirements.
