Overview

Inventory is a module specifically designed to help organisations efficiently manage their stock levels, from manufacturers and distributors to wholesalers and retailers. It provides a robust and integrated suite of tools for accurately tracking physical inventory, maintaining comprehensive stock records, handling various types of goods, and optimising the entire supply chain. This module is fundamental for ensuring businesses maintain precise control over their assets, enabling informed decision-making regarding purchasing, sales, and internal transfers, while also supporting compliance and operational efficiency.

Here are the key features and functionalities of the Inventory module:

  1. Product Master and Setup:

    • Used to create and maintain comprehensive information about each inventory item, including its description, properties, UPC, SKU, weight, dimensions, and optional details like Brand, Engine, or Vehicle information.
    • Supports various product types: Purchase (physical items bought and sold), Kit (products assembled in-house from other items), Non-Quantity Bearing (services), and Obsolete (discontinued items).
    • Allows for configurable minimum profit percentages to ensure selling prices maintain profitability and supports the use of fractional quantities in transactions.
    • Facilitates easy item creation by populating default values, enables automatic product code generation based on category/sub-category, and validates against duplicate UPCs or barcodes.
    • Manages diverse product pricing structures, including Price Level, Cost + Markup percentage, Promotional Price, and Price Break, with options for location-specific pricing.
  2. Inventory Transactions and Control:

    • Stock Adjustment: Manages increases or decreases in inventory levels. It allows for importing adjustments from external files (e.g., Excel CSV) and offers separate access controls for "Adjustment In" and "Adjustment Out" functions. Features automatic serial number generation for Lot/Bin items and includes a horizontal scroll bar for improved usability.
    • Stock Take: Facilitates physical counting of inventory to reconcile actual stock against system records. Users can create stock takes by location, cycle code, product, category, sub-category, or bin number. Generates "Stock Take Count Sheet" and "Stock Take Variance Report" to highlight discrepancies by cost or selling price.
    • Stock Transfer: Enables efficient movement of inventory between different locations. Provides options to copy transfer requests and displays Lot/Bin details during shipment and reception to ensure accurate tracking. Addresses issues with incorrect stock updates and ensures proper management of Lot/Bin serialised items during transfers.
    • Stock Replenishment: Helps manage optimal stock levels by generating transfer requests for items when stock falls below predefined thresholds, with the ability to create transfers from these replenishment suggestions.
  3. Purchasing Management:

    • Supports a complete purchasing workflow, including Purchase Requests, Purchase Quotes, Purchase Orders, and Purchase Receiving.
    • Allows for partial deliveries, manages FOC (Free of Charge) quantities, and includes validation rules for supplier reference numbers.
    • Purchase Orders can be created at branches and centrally posted from the head office, with features to reject individual items and automatically close fully received orders.
    • Supplier quotes can be managed efficiently in batch mode and uploaded via templates, simplifying the process of obtaining and comparing supplier pricing.
  4. Lot/Bin and Product Matrix Management:

    • Lot/Bin Tracking: Essential for managing serialised items or items tracked in specific batches (e.g., using FIFO methods). Records details such as bin number, lot serial number, expiry date, and quantity. Offers auto-creation of Lot/Bin serials with configurable masks and starting numbers.
    • Product Matrix: Manages items with multiple variations (e.g., by colour and size), automatically forming a matrix for streamlined stock and adjustment entries.
  5. Organisational Setup and Utilities:

    • Category & Sub-Category: Used to group and manage similar inventory items for better tracking and sales analysis. Users can define codes, descriptions, notes, and set default categories.
    • Location: Enables the creation and maintenance of physical storage locations and associated bins. Details include address, contact information, default tax codes, and location masks. The system allows voiding or activating locations, preventing voided locations from being used in transactions.
    • Supplier Maintenance: Manages comprehensive supplier details, including quotes, contact information, and currency. The supplier information on the product master can be automatically updated from the most recent purchase receipt.
    • Utilities: Provides various tools for managing inventory costs, setting and adjusting minimum/maximum stock levels, and updating product prices across the system.
  6. Reporting and Valuation:

    • Generates a wide array of reports for detailed oversight and analysis, including Inventory Adjustment Report, Stock Take Count Sheet, Stock Take Variance Report, Inventory Transfer Listing, Purchase Order Received Report, Supplier Quote Audit Report, Inventory Cost Listing, Inventory Movement (Summary, Detail, Sales Summary), Inventory Valuation, Inventory Sell Price Listing, Inventory Promotional Price Setup Report, Inventory Category Listing, Inventory Sub-Category Listing, and Dead Stock Report.
    • Inventory Valuation includes sophisticated calculations that account for freight in transfers and can handle negative costs, with tools to recompute stock values for accuracy.
    • Provides specialised reports, such as tracking sales of "Pseudoephedrine" medications for regulatory compliance.
    • Reports are designed for clarity and usability, incorporating features like description wrapping and consistent naming conventions.
  7. Barcode and Label Generation:

    • Capable of generating various barcode labels for inventory, Lot/Bin serials, and transfers in different A4 and roll formats.
    • Labels are highly customisable, allowing for the inclusion of product descriptions, Units of Measure (UOM), prices, and print dates, suitable for placement on products or shelves.
    • Includes features like print start index and specific formatting options for unique requirements, such as jewellery barcodes.
