The Point of Sale (POS) Processing module within the LinkWeb Application Portal is the operational core for managing sales, customer interactions, and inventory movements in real-time. It provides a comprehensive set of functionalities for cashiers and sales staff to execute daily transactions, handle various payment types, manage shifts, and address customer service needs, all while maintaining data integrity and business compliance.
Here are the key aspects and functionalities of the Point of Sale Processing module:
Starting Point of Sale (POS) and Transaction Management: Users can initiate sales by loading items via fast keys, scanning barcodes, or using an item search function. The system supports loading, copying, and voiding existing transactions. It prevents sales from being completed with a zero selling price, and it allows for the deletion of individual prescription items from the sales grid. Transactions can also be "parked" for later retrieval and processing, with an option to prompt for additional notes when parking.
Cash Sales: These transactions involve immediate payment. The system offers a "Fast Cash Receipt Mode" to expedite the process by directly opening the payment screen. It incorporates rules for applying discount vouchers specifically to cash sales and includes validations to prevent overpayments.
Credit Sales: For sales with delayed payments, the system facilitates credit transactions and includes robust credit limit checks for customers, especially for fleet cards, which consider the "available credit." If a customer exceeds their credit limit or enters an incorrect PIN for a fleet card, the system can automatically switch the transaction type to "POSCASH" or a cash sale. It generally restricts credit sales for "POSCASH" customers.
Lay-by Sales: This feature allows customers to secure goods with an initial deposit and pay the remaining balance in installments. The system prevents lay-by transactions for prescriptions due to their unique pricing and discounting structures. Stock for lay-by items is only reduced from inventory once the transaction is fully paid, and lay-by payments cannot be processed for "POSCASH" customers.
Returns: The module processes item returns, accurately recalculating stock levels and supporting returns for custom kit items. It also integrates with tax monitoring systems for handling returns, ensuring that re-printed return dockets are correctly identified (e.g., "COPY REFUND").
Shift Management: Cashiers can "Hold" their shifts, which summarises sales and locks the shift, allowing a supervisor to later "Reconcile & Close" it. This process involves reconciling till amounts against system records and accepting any variances. The system consolidates multiple payment method variance journals into a single journal for cleaner financial integration. Shift details are typically not replicated to other branches to avoid discrepancies. Cashiers can also perform "Cash In" and "Cash Out" operations, specifying reasons for these movements.
Account Payments: Various methods for managing customer accounts are available, including processing payments for credit sales, applying account payments or credit notes, and handling multi on-account payments. The system also supports payment adjustments and refunds.
Other Operational Features: The POS module handles quotations, allowing them to be converted directly into cash or credit sales. It provides comprehensive "Reprint" options for receipts, parked slips, and processing slips. A customer display actively shows sales details to the customer, with configurable elements like font size and welcome messages. For service station environments, it displays fuel transactions on the customer display when loaded for processing. The system also ensures item descriptions are correctly loaded and displayed in the POS grid, prevents SKU codes from overriding product descriptions on fast keys, and can include warranty information on printed receipts.
