Time Management

Overview

Time Management is a crucial Human Resource Management module, specifically designed to efficiently track, record, and process employee work hours and attendance. It furnishes essential tools for daily operations, accurate payroll, resource scheduling, and maintaining a comprehensive employee time history, all while seamlessly integrating with other HR functions for structured workforce oversight.

Here are the key features and functionalities of Time Management:

  1. Timesheet and Roster Management: This feature facilitates the creation, editing, and deletion of timesheets, detailing dates, paycodes, and hours worked. The system automatically calculates normal, overtime, and double time hours based on configured shift segments and time control details. It integrates roster schedules, including automatic public holiday entries, and permits manual overrides. New timesheet import rules can create roster schedules for specific days like Friday and Saturday. Additionally, the system allows for the deletion of timesheet log data that has not yet been processed.
  2. Time and Attendance (TNA) Rules and Validation: A robust set of configurable rules ensures data accuracy. These govern timesheet processing, implement time buffers around shifts (e.g., 15 minutes before or after shift times), and deduct minimum break hours. Validation prevents duplicate entries for the same date and flags those exceeding maximum daily or shift hours. A 'Maximum Work hours to be considered as the same work day' rule helps correctly split merged entries from incorrect punch types. The system is also designed to correctly calculate breaks, even when a shift overlaps past midnight. Configuration checks are in place for TNA setup items.
  3. Project and Customer Time Tracking: This module enables linking time entries to specific projects and customer activities. This facilitates detailed tracking of project budgets, hours utilised, and associated rates. Alerts notify users if entries exceed predefined limits, providing critical insight into project costing and resource allocation. Time entry limits can also be introduced based on specific customers, projects, or activities.
  4. Approvals, Alerts, and Reporting: Time Management features a structured approval workflow for time entries, with statuses colour-coded: "Submitted" (blue), "Approved" (green), and "In Progress" (orange). Managers can approve or reject single or multiple time entries. Various reports are available, covering absentees, incomplete entries, and late arrivals, supported by alerts for missing time or staff hours, ensuring comprehensive oversight. Two missing time alerts (ESS016 and ESS017) can be combined into one for efficiency. HTML reporting for Employee Self Serve time entry is available with configurable email alerts, and KPI indicators can be added to staff hours alerts for improved layout. Timesheet reports now show individual entries per day rather than grouped data.
  5. System Configuration and Integration: Core rules, entry types, and limits within Time Management are highly configurable to match unique operational needs. The module supports integration with biometric devices and fingerprint readers for timesheet import. It also integrates with external financial systems, allowing billable time entries to be created as sales orders. Essential TNA processes like 'TNA Timesheet Import Recompute' (ESS022) and 'TNA Timesheet Import Automatic Archive' (ESS023) are merged with the main TNA process (ESS021) for streamlined operation. A configuration option for "DefaultHours" on the time entry screen is available.
  6. Security and Access Control: Access to specific TNA functionalities is controlled by license counts (e.g., TNA license). Role-based access ensures that users can only view employees and their time entries based on their assigned workflow in Time Management. New security measures can prevent time entry on days that already have approved time. The "ESS Allow adding timesheet entries" security option provides control over direct time input in the Employee Self-Serve application.
  7. Data Management and Usability: Improvements include enhanced Employee Self Serve Time Entry auditability, featuring a new system-assigned date field. System-generated dates are visible in leave applications, approvals, and history, which can also apply to time. Territory, Branch, and Cost Centre fields have been added to Roster Schedule detail lines and Timesheets, automatically populating from the roster or defaulting to the employee's position. These dimensions are also included in the Time View and when time is imported into payroll. Performance tuning, including new indexes and logging, has been implemented for the Pay Close process within the Time module to enhance efficiency.
